WorkFlow Ambassador – Full-time, Exempt, Benefits Eligible, $45K
Basic Function
Provide administrative support to the Executive Director and be a communications liaison for the Board of Trustees. Create and oversee professional correspondence, prepare reports, presentations, and documents, and schedule appointments and opportunities. Manage calendars, processes, and meetings within the organization. Serve as project manager for a few key initiatives. Keep our ED prepared, on time, and up to date.
CHARACTERISTIC DUTIES & RESPONSIBILITIES
- Provide administrative assistance, such as writing and editing professional emails, drafting memos and preparing communications on the ED’s behalf
- Support and Maintain the Organization Calendar on Artifax and train staff on its uses and project management software updates as needed.
- Act as Board Liaison including coordinating meetings and managing communications
- Organize meetings, including scheduling, sending reminders, creating agendas, and supporting logistics
- Organize and plan special projects such as strategic planning meetings, community picnics, social gatherings, and more.
- Communicate on behalf of the Executive Director as requested via phone, email, and in person to a wide range or partners, donors, community leaders, and stakeholders
- Manage the ED’s day-to-day calendar, including making appointments and prioritizing time sensitive matters
- Coordinate travel arrangements/itineraries
- Use software, including word processing, spreadsheets, and presentation software to prepare reports and/or special projects (some design skills a plus)
- Other duties as assigned
